The method

Four positions, one point.

Every file is read from four places at once: how you see your numbers, the rules that shape them, the paper they land on, and everyone else who will read the file. They converge on a single point — a number you can say out loud.

How you read your own numbers

It starts with how you look at it.

Two people open the same P&L. One is looking for a reason to worry; the other is looking for the decision hiding inside it. The monthly note is written for the second reader.

We don’t sit down and read the P&L together. I send it and explain it in writing, with the reasoning attached, so that in eight months you can go back to it without calling me.

The rules that never touch a dollar

Then the rules nobody sees.

Entity, election, chart of accounts, retirement plan. None of these move a dollar by themselves, and all of them decide where the dollars end up.

Most of what looks like a tax problem in April was a structure question the year before. This gets settled upstream, not corrected downstream.

Transaction by transaction, into a set of books that will hold. A reconciliation isn’t housekeeping — it’s the month telling you what actually happened.

The IRS, the state, a lender, an employee, a board. A rejected e-file or a notice is rarely the beginning of a problem — it’s the first place someone else noticed one.

The cadence

Marked months are the practice’s standing cadence; exact dates depend on entity type, fiscal year and extensions. February is still February — I rush too — but the rest of the year is deliberate.

The fit

This isn’t right for everyone.

I would rather say so than bill for it. If your situation is in the right-hand column, you’ll hear it in the first email, along with where to go instead.

Works well when

  • You run something — a business, a rental, a nonprofit — and the numbers have started to matter.
  • You want the same person on the books and the return, so you don’t explain your business twice.
  • You’re comfortable working in writing, with the answer on file instead of remembered from a call.
  • Your household or your staff works in English and Spanish, and both need to be handled properly.

Probably not the place

  • You need the lowest price. There are free options, and I’ll point you to them.
  • You need audited financial statements. That takes a licensed audit firm — we don’t do them.
  • You expect weekly calls or an answer within the hour.
  • You want investment or securities advice. That gets referred out.
  • You want someone to sign a position you already know isn’t right.

Who you’d be working with

One person reads the whole file.

In tax and books since 2006, in my own office since 2019, open every month since. English and Spanish, both done properly — not one translated after the fact.

I work mostly in writing. The answer comes with the reasoning attached, so it still works eight months from now. I don’t call much; when a decision is close, I call before it’s made, not after.

I take a few new clients each quarter and keep the roster short on purpose. It’s the only way the monthly note stays written by someone who actually looked at your books.

I use the positions the law allows for your facts rather than defaulting to the safest number on the page. And I won’t take one I wouldn’t want to explain out loud.

Mistakes happen; the number isn’t zero. When one is mine, you’ll usually hear it from me first.
